At Polina Radchenko Interiors, we believe the best projects are built on clear communication, mutual respect and thoughtful collaboration.

We also believe clear communication and transparent commercial arrangements are essential to delivering exceptional projects. These policies are designed to ensure every client receives dedicated attention, appropriate resourcing and a seamless design experience from commencement through to completion.

The following information outlines how we work together throughout your project and forms the basis of our standard studio procedures.

Project Commencement

Each project is unique, and payment milestones are tailored to suit the agreed project scope and program.

Before work commences, the following are required:

  • Acceptance of the Fee Proposal or Client Agreement.

  • Receipt of the agreed initial deposit.

  • Receipt of all information reasonably required to commence the project.

Consultant time, studio resources and project scheduling are confirmed upon receipt of the initial deposit.

No design work, consultant coordination or project resourcing will commence until these requirements have been satisfied.

Project Program & Payments

Unless otherwise agreed in writing:

  • Payment milestones will generally follow the agreed project program or Fee Proposal.

  • Invoices are issued progressively throughout the project.

  • Standard payment terms are seven (7) days from the invoice date.

  • All invoices are payable without deduction or set-off.

Projects with extended durations may include additional progress claims where appropriate.

Overdue Payments

To ensure fairness across all projects and maintain project momentum:

  • No further work will be undertaken while invoices remain overdue.

  • Meetings, presentations, site visits and consultant coordination may be postponed.

  • Drawings, schedules, presentations, specifications and other project deliverables will not be issued until payment has been received.

Where payment has been made immediately prior to a scheduled presentation or deliverable, a remittance advice or payment confirmation may be accepted while funds clear.

Deposits

Deposits secure consultant time, project scheduling and allocation of studio resources. Once work has commenced, deposits are non-refundable.

Where projects are delayed by the client for an extended period, Polina Radchenko Interiors reserves the right to review project fees, consultant availability and project programming prior to recommencing services.

Variations & Additional Services

Our Fee Proposal outlines the agreed scope of services.

Any services outside the agreed scope—including additional design options, client-requested revisions, redesigns, additional meetings, consultant coordination, site attendance, procurement support or documentation—may be treated as a variation.

Variations will either:

  • be quoted as a fixed fee; or

  • be charged at the current hourly rates,

and will only proceed following client approval.

Construction Costs

We can assist clients in developing realistic budgets and selecting products that align with the desired project outcomes.

While we may provide indicative cost guidance based on industry experience, construction costs remain the responsibility of the builder or quantity surveyor. We cannot warrant construction pricing, quotations or tender outcomes.

Procurement

Where Polina Radchenko Interiors is engaged to procure furniture, lighting, artwork, window furnishings or accessories:

  • Orders will be placed following receipt of the relevant payment.

  • Manufacturer lead times are estimates only.

  • Delivery dates remain subject to supplier availability.

  • Freight, storage and installation costs may be invoiced separately where applicable.

Disbursements & Reimbursable Expenses

Certain project-related expenses may be charged in addition to the agreed design fee where applicable, including:

  • specialist renderings and visualisations;

  • printing and presentation material;

  • courier or freight charges;

  • travel outside the Brisbane metropolitan area;

  • authority fees and consultant disbursements;

  • photography, models or samples requested by the client; and

  • other project-related expenses reasonably incurred in delivering the agreed services.

Where practical, these costs will be discussed with the client prior to being incurred.

Intellectual Property

All concepts, drawings, schedules, specifications, presentations, renderings and other documentation prepared by Polina Radchenko Interiors remain the intellectual property of Polina Radchenko Interiors unless otherwise agreed in writing.

Copyright remains with Polina Radchenko Interiors at all times.

Clients are granted a licence to use the completed documentation solely for the project for which it was prepared once all outstanding fees relating to that stage have been paid in full.

Documentation may not be copied, modified, reused or transferred to another project without prior written consent.

Client Responsibilities

To ensure the project progresses efficiently, clients are responsible for:

  • providing accurate project information;

  • communicating budgets, timelines and project objectives;

  • providing timely feedback and decisions;

  • reviewing documentation within a reasonable timeframe; and

  • obtaining all necessary approvals where required.

Delays in receiving information or decisions may affect project timelines and associated fees.

Consultant Information & Third Parties

Our services rely on information supplied by the client, architect, builder, surveyor, engineer and other consultants engaged on the project.

Polina Radchenko Interiors is entitled to rely on the accuracy and completeness of information provided by others and is not responsible for errors, omissions or delays resulting from inaccurate, incomplete or revised information.

Where consultant information changes after work has commenced, additional services may be required.

Force Majeure

Polina Radchenko Interiors will not be liable for delays or inability to perform services resulting from circumstances beyond our reasonable control, including but not limited to natural disasters, severe weather events, pandemics, industrial action, supplier or builder/contractor delays, material shortages, government actions, utility failures or other unforeseen events.

Where such circumstances arise, project programs may be adjusted accordingly.

Limitation of Services

Polina Radchenko Interiors provides professional interior design services.

Unless specifically included within the agreed scope, our services do not include:

  • architectural certification;

  • engineering;

  • quantity surveying;

  • building certification;

  • project management;

  • construction management; or

  • specialist consultant services.

Where appropriate, we are pleased to recommend suitably qualified consultants for direct engagement.

Photography & Marketing

Unless otherwise agreed in writing, Polina Radchenko Interiors reserves the right to professionally photograph completed projects and use photographs, drawings and project information for portfolio, awards, editorial publications, social media, marketing and promotional purposes.

Client privacy and confidentiality will always be respected.

Privacy Policy

Polina Radchenko Interiors is committed to protecting your privacy and managing your personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

Collection of Personal Information

We may collect personal information including your name, address, email address, telephone number and other information relevant to your enquiry or project.

Information may be collected through:

  • meetings and consultations;

  • telephone and email correspondence;

  • our website;

  • project documentation;

  • publicly available sources; and

  • third parties where appropriate.

This information is collected for the purpose of providing our services, administering projects, communicating with clients and providing information about our services.

You may unsubscribe from marketing communications at any time.

Sensitive Information

Sensitive information will only be collected or used:

  • with your consent;

  • where required by law; or

  • where directly related to the services we are providing.

Disclosure

Personal information may be disclosed:

  • to consultants or contractors involved in your project;

  • where authorised by you; or

  • where required by law.

We do not sell or trade personal information.

Security

We take reasonable steps to protect personal information from misuse, loss, unauthorised access, modification or disclosure.

Project records are generally retained for a minimum of seven (7) years to meet legal and professional obligations.

Access & Corrections

You may request access to the personal information we hold about you or request corrections where necessary.

Reasonable identification may be required prior to releasing personal information.

Cookies & Website

Our website may use cookies and third-party analytics to improve website performance and user experience.

We are not responsible for the privacy practices of external websites linked from our website.

Policy Updates

These Studio Policies are intended to provide general guidance regarding how Polina Radchenko Interiors operates.

We reserve the right to update, amend or replace these Studio Policies at any time at the sole discretion of the studio without prior notice.

The current version published on this website supersedes all previous versions and applies from the date of publication.

These Studio Policies are intended to apply to all projects. The signed Fee Proposal, Client Agreement or Consultant Agreement may include additional project-specific terms and conditions, all of which form part of the agreement between the parties.
